Privacy notice

This notice explains how personal information is used when you visit this website, send an enquiry, or use a client information-request link. It is written for visitors and clients in the United Kingdom.

Last updated: 25 September 2026

1. Who is responsible

The controller for personal information described in this notice is KPW Ventures Ltd (company number 17423647), trading as Pete Wilson Consultancy.

Registered office: Lytchett House, 13 Freeland Park, Wareham Road, Poole, England, BH16 6FA.

Privacy contact: me@peterwilson.uk (configurable via the PRIVACY_EMAIL environment variable).

Customer / general contact: me@peterwilson.uk.

2. What this notice covers

Pete Wilson Consultancy helps owner-led and founder-led businesses improve how they run and how they grow, starting with a free Prologue conversation and, where agreed, scoped follow-on work. This notice covers:

  • the public website at peterwilson.uk;
  • the website enquiry form (stored in Airtable and, where configured, emailed via FormSubmit.co);
  • client information-request upload links and related evidence files;
  • proposal and engagement records in Airtable; and
  • Proposal Studio tools, including AI-assisted assessment classification and optional drafting (see section 5).

It does not replace any accepted proposal or engagement agreement for paid consultancy work. Those arrangements, when they exist, are agreed separately.

3. Personal information we collect

Website enquiry form. Name, email address, business name (if provided), and your message. A hidden “website” field is used only as a spam trap and is not processed as a genuine enquiry if completed. Enquiries are saved to Airtable. The site may also send a copy to our mailbox through FormSubmit.co.

Client information-request portal. Files and notes you upload or mark as unavailable for an engagement. Access requires a full link that includes a secret access key and an expiry date (revocable from our side). There is no separate client password. Uploaded files are stored in private Vercel Blob storage and can be downloaded only through our authorised API, not via a public CDN URL. Metadata is kept in Airtable.

Proposal and engagement records. Business and contact details, scope, notes, transcripts or forms Pete records, assessment outputs, evidence checklists and related project records held in Airtable (and operator tools that read or write those records).

Technical data. When you load the site, your browser contacts our host (Vercel). Fonts are self-hosted on this site (no Google Fonts requests). The application does not set first-party analytics cookies. See the cookies notice.

We do not operate a separate marketing mailing list product in the current site.

4. Purposes and lawful bases

We use personal information for the following purposes:

  • Responding to enquiries and arranging a Prologue: to reply to your message and schedule an introductory conversation. Lawful basis: legitimate interests (responding to people who contact us about our services), and where you are negotiating a contract, steps prior to entering a contract.
  • Delivering client information requests and engagements: to collect evidence you share and to run the consultancy process you have asked for. Lawful basis: contract (or steps prior to contract) where an engagement is under discussion or agreed; otherwise legitimate interests in delivering the service you requested.
  • Operating the website and tools: hosting, spam prevention (honeypot), and keeping systems available. Lawful basis: legitimate interests.
  • AI-assisted assessment and drafting: limited use of AI processors (section 5) to help classify Prologue material and draft internal engagement text for human review. Lawful basis: legitimate interests in delivering and documenting engagements efficiently. We do not use this to build a public marketing profile of you.

We do not use the enquiry form for automated profiling that produces legal or similarly significant effects about you.

5. AI-assisted assessment and drafting

Proposal Studio may send assessment inputs Pete submits (for example notes, optional transcript or pre-call form text) to TypeSafe Jev through the Vercel AI Gateway for classification (scores, themes and routing). The product workflow requires Pete to review clusters and lock the assessment before the client-facing Prologue report is generated from that locked snapshot. The client report is not taken straight from an unreviewed AI pass.

Engagement findings may optionally be drafted with OpenAI when that feature is enabled. Drafts are written into editable fields and the operator interface prompts review before saving. AI output is therefore used as an aid for Pete to review and edit; it is not published to the client automatically by the current tools.

6. Recipients and processors

Personal information may be processed by:

  • Airtable: enquiries, proposals, engagements and evidence-request records (including attachment metadata / URLs).
  • FormSubmit.co: may receive a copy of enquiry details for email notification.
  • Vercel: hosts the website and APIs; stores uploaded evidence files in private Vercel Blob when configured.
  • Vercel AI Gateway / TypeSafe Jev: assessment classification in Proposal Studio.
  • OpenAI: optional drafting of engagement findings when enabled.

We do not sell your personal information. Professional advisers may receive information where needed for our business, under confidence.

7. International transfers

Some of our suppliers may process personal information outside the United Kingdom. Where that happens, we rely on appropriate safeguards under UK data protection law for that recipient and arrangement. TODO: verify each supplier’s account region and transfer mechanism (Airtable, FormSubmit, Vercel, OpenAI / AI Gateway) against the live contracts. Do not mark complete until checked.

8. How long we keep information

Our operational retention rules are:

  • Unsuccessful enquiries: deleted 12 months after the last contact (or after creation if no later contact date is held).
  • Client proposals, engagement records and related correspondence: retained for six years after the engagement ends.
  • Client evidence files: deleted 12 months after the engagement ends, unless a dispute or legal obligation requires longer.

Automated cleanup for enquiries and evidence files runs via a scheduled job (/api/cron/retention) when CRON_SECRET is configured. Proposal/engagement records that pass the six-year window are flagged for manual review rather than deleted automatically. We may keep information longer where needed for legal claims or obligations.

9. Your rights

Under UK GDPR you may have the right to:

  • access your personal information;
  • have inaccurate information corrected;
  • request erasure in certain circumstances;
  • restrict or object to certain processing;
  • data portability in certain circumstances; and
  • withdraw consent where processing is based on consent (not the primary basis used above).

To exercise these rights, email me@peterwilson.uk. We may need to verify your identity. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint.

10. Marketing

We use enquiry details to respond to you about the services you asked about. We do not run a separate email marketing product from this site. If that changes, we will update this notice and offer a clear choice where the law requires it.

11. Children

This site is aimed at adult business owners and managers. We do not knowingly collect children’s information through these forms.

12. Changes

We may update this notice when our practices or tools change. The “Last updated” date at the top will change when we do. International transfer assessments for each supplier remain an open review item until verified against live account settings.
